The core loop: connect your calendar, and OtterPilot (Otter's bot) joins your Zoom, Google Meet, or Teams calls as a visible participant. It transcribes live, identifies speakers, and produces a summary with action items a few minutes after the call ends.

Around that loop, Otter has built a serious product. Otter AI Chat answers questions across all your past meetings. Integrations push notes to Slack, Salesforce, HubSpot, and Notion. In 2025 Otter shipped a suite of agents aimed at sales and recruiting teams, and in late 2025 it added a desktop app that can record without sending the bot into the call.

Its transcription reputation is strong on clear audio, weaker with heavy accents and crosstalk. And it is genuinely useful as a shared record: if your team needs one searchable archive of what was said and decided, that is exactly the job Otter was built for.

What Work Coach does

Work Coach starts from a different question. Not "what was said?" but "what is holding you back?" It is a desktop app for Mac and Windows that captures your meetings locally, with no bot, then analyzes how you communicated.

After each meeting you get a transcript and summary, like any tool. The difference is everything stacked on top:

• Role-aware coaching. Work Coach classifies the meeting (interview, 1:1, standup, sales call, presentation, and so on) and your role in it, then scores the dimensions that matter for that role. An interviewee gets scored on STAR answer quality. A manager in a 1:1 gets scored on psychological safety and accountability. Each score comes with timestamped evidence you can play back.
• Filler words, counted honestly. A deterministic counter (not an AI guess) tracks your ums, likes, and you-knows per minute, flags whether you are in a low or excessive band, and plays each instance back so you hear yourself.
• Voice delivery. It picks up to five high-stakes moments of your own speech and analyzes the audio itself: pitch, pace, pauses, projection, and tone, scored out of 100 with specific suggestions.

How they record your meetings

This is the difference people feel first.

Otter's default flow syncs with your calendar and sends OtterPilot into your meetings as a participant everyone can see. That visibility cuts both ways. It signals that recording is happening, which matters for consent. It also changes the room: clients ask about it, interviewers notice it, and some hosts eject bots on sight. The most common Otter complaints on Reddit and Trustpilot are about the bot joining meetings nobody asked it to join, and about notes being auto-emailed to every attendee afterward. Otter's late-2025 desktop app can record without the bot, but the bot remains the primary experience.

Work Coach never joins anything. It runs in your menu bar, notices when a meeting app starts using your microphone, and asks whether you want to record. You press start, or you don't. Audio is captured directly on your computer, so it works with Zoom, Google Meet, Teams, Slack huddles, Webex, FaceTime, and anything else that makes sound. Other participants see nothing, which means telling people you record is your call and your responsibility, the same as with any local recorder.

On analytics specifically, precision matters. Otter does show a talk-time percentage breakdown of who spoke how much, on paid plans. Its real coaching features (live prompts, talk-listen ratios, objection tracking) live in the Sales Agent, which is Enterprise-only and built for sales managers reviewing their reps. There is no filler-word feedback anywhere in Otter; it quietly removes fillers from transcripts rather than telling you about them. Work Coach takes the opposite view: the fillers, the rushed close, and the buried recommendation are the product. Privacy and who sees your data

Two facts about Otter worth knowing before you route every conversation through it. First, Otter trains its AI models on de-identified customer conversations, and this is on by default rather than opt-in. Second, a class action filed in August 2025 (Brewer v. Otter.ai) challenges both that practice and how OtterPilot handles recording consent; the case was still working through motions in 2026. Otter holds SOC 2 certification and offers admin controls on business plans, and none of this may matter for your use case, but it is part of the picture.

There is also the workplace question. On Otter Business and Enterprise, the workspace belongs to the company: admins manage it, and conversations can be shared into channels your teammates and managers browse. That is a feature when the goal is team knowledge. It is worth pausing on when the recording is your salary negotiation prep or a job interview.

Work Coach is built on the opposite premise. Meeting audio stays on your computer and is deleted automatically after 30 days; no audio files are stored in the cloud. Transcripts and coaching live in your private account, and the privacy policy commits in writing that your employer, your manager, and HR cannot see them, that your data never trains shared models, and that your coaching history stays with you if you change jobs. There is no admin role that could see your meetings, because none exists in the product.

Pricing

Otter's free Basic plan gives you 300 transcription minutes a month with a 30-minute cap per conversation. Pro is $8.33 per user per month billed annually ($16.99 monthly) and raises that to 1,200 minutes. Business, at $19.99 annually ($30 monthly), removes the monthly cap and adds admin controls. Sales coaching requires an Enterprise contract with custom pricing.

Work Coach costs $50 a month after a two-week free trial that needs no credit card. That is more than a note-taker, because it is priced as coaching rather than transcription: the benchmark it competes against is an executive coach at $5,000 a month, not a $10 transcript archive. Higher tiers add humans, with async review of your progress by a real coach at $250 a month, and a monthly live session at $500.

If all you need is a record of your meetings, Otter is the cheaper tool and the right call. If a promotion, an offer, or your credibility in the room is on the line, the math changes.

Can you use both together?

Yes, and it is a common setup. Nothing conflicts: Otter's bot joins the call while Work Coach records locally, and neither is aware of the other. Let Otter keep doing the team's paperwork, the shared notes and the action items, while Work Coach gives you the private debrief.
